Are you a real estate agent ready to learn some time management secrets?
My name is Tharmila Rajasingam, I am a real estate marketing agent. I am a global leader with eXp Realty Global and much more. My goal is to share with you my own time management secrets, so you can become highly productive in your real estate career and your personal life – they are one and the same.
The number one question I am asked is, how do I accomplish so much in such a small amount of time? How am I able to balance multiple priorities while still growing my real estate business?

The answer is I utilize systems and processes that make me more efficient, and therefore productive. The good news here is that I have vetted what works for real estate agents, I know what works and what doesn’t.
A little background. Over the course of my working life I’ve worked in corporate settings, worked in marketing for the government, marketing for nonprofits and private brands. On top of all of that, I am a wife, and the mother of two small children (2 & 3 years old). I own multiple businesses; a digital marketing agency, developed and own a social media product that I collaborate with my business partner in Houston on a regular basis, I am a real estate agent who leads 37 agents at my brokerage. I am also a real estate investor with my husband and a YouTube content creator, I produce a large volume of content on a weekly basis, I post three to four videos on a weekly basis, including this channel for real estate agents.
I post and interact with the following platforms multiple times a day, LinkedIn, YouTube, Instagram, Facebook, Pinterest, Google, and my website to name a few.
The only way to accomplish these tasks is to live less out of habit and more out of intent, to be more present.
Recently at eXp Con 2022, I heard this statistic that by the time you have reached the age of 35, you’re conscious only for 5% of the time. So, you’re unconscious for 95% of the time, that’s a mind-boggling percentage. I decided to share the ways in which I tap into more of that 95%.
I journal daily, I meditate and practice the art of yoga.
It is worth doing a time study to find out what works for you and what does not. For a week, track what you do every 5 minutes, the pattern that emerges is spots where you get distracted or where you are wasting time.
We have a book club, oh yeah, I did not mention that earlier, but we do! Recently, we read Atomic Habits: An Easy & Proven Way to Build Good Habits & Break Bad Ones, by James Clear. He says that making a series of small changes makes a huge impact. Once you find out what you are spending your time on, it will determine how you feel about those tasks, which then snowballs into quality of life and quality of business decisions.

Eisenhower’s Matrix
Remember that this is a fluid process. What works one week will need to be reviewed and restructured to shift priorities when needed. The best way to start is to determine what’s the highest priority. I utilize the Eisenhower’s Matrix which is a productivity, prioritization, and time-management system designed to help you prioritize a list of tasks or agenda items by first categorizing those items according to their urgency and importance. Basically, if something is deemed to be important and urgent, do it now. If it is important, but not urgent, it can be scheduled for later. If it is not important nor urgent, remove it from the list all together.
I enlist this same time-management system with my team members. My team member and I determine what the priorities are and work together to get things done so that we’re maximizing both of our potential. A great simple tool to help with this prioritizing is to determine one colour post-it note or pen colour in your digital notes for do now, do in a week, and do in 30 days. I can take a quick look at any moment and move on to the next task. You will find this works perfectly for your home life too.
Next is a review of the mobile apps that I highly recommend. They allow for greater efficiency and productivity. Obviously, if you’re part of a Real Estate Board, you know, an MLS or license, you probably want to have all of that in your phone. You’ll also want to have access to either Google Drive or Dropbox. Great for having access on the go. In the real estate business, having quick access to insurance or warranty information is critical.
I am a big fan of Google Keep for note-taking in my phone as well as for journaling. Great for keeping track of all your brilliant ideas!
A must-have is kvCORE, the number one rated real estate platform, it is built to power your entire brokerage with next generation technology. It is the backbone of my real estate business. I have automated so many processes through kvCORE.
I use Zapier, an automation platform that connects your work apps and does repetitive tasks for you. Zapier automates your work by connecting your apps and then moving information between them based on rules you set.
Additionally, I use Receipt Bank (Now DEXT) it’s a software application that allows you to electronically capture and store your receipts. Supporting documentation is securely stored electronically, so it’s available on any computer or connected device. This helps with pesky receipts, logging mileage, taxes and dealing with bookkeeping.
For project management, I use Asana. Asana is a web and mobile work management platform designed to help organize teams, track, and manage their work. Others like it are Monday & Trello.
My husband and I have everything in Asana, and it’s a project management tool, all our new ideas, current ideas, all the tasks that need to be done either personal or professional, everything’s in there.
